Job Summary
As an Office Administrator, this role provides comprehensive administrative support across document control, human resources, and accounting functions within a global engineering firm operating in the energy and infrastructure sector. The position supports project teams and corporate functions by ensuring efficient processes, accurate records, and consistent adherence to internal procedures and regulatory requirements.
Document Control & Project Administration
- Manage, register, distribute, and archive project and corporate documentation in accordance with internal document control procedures.
- Maintain document version control, transmittals, and audit trails across multiple projects and regions.
- Support project teams with administrative coordination, reporting, and data management.
- Ensure compliance with quality management systems and client documentation requirements.
- Provide administrative support across the employee lifecycle, including onboarding, offboarding, and personnel record management.
- Coordinate training records, certifications, and compliance documentation.
- Assist with recruitment administration, interview scheduling, and candidate communications.
- Support HR reporting and maintain confidentiality of sensitive employee information.
- Assist with processing invoices, expense claims, and purchase orders in line with internal controls.
- Support project cost tracking, timesheet administration, and basic financial reporting.
- Liaise with finance teams to ensure accurate and timely documentation and approvals.
- Maintain organized financial records for audits and internal reviews.
- Coordinate meetings, travel arrangements, and internal communications.
- Act as a point of contact for internal stakeholders and external partners on administrative matters.
- Support continuous improvement of administrative processes and systems.
- 4–9 years of relevant administrative experience, preferably within engineering, energy, infrastructure, or other technical consulting environments.
- Proven experience supporting document control, HR administration, and accounting or finance-related tasks.
- Strong organizational skills with the ability to manage multiple priorities and deadlines across projects.
- High attention to detail and accuracy in document and data management.
- Proficiency with general office productivity tools and enterprise document management systems.
- The candidate to be fluent in English verbal and writing.
- Office admin. or financial or HR related Bachelor Degrees are preferred.
- Strong communication skills and the ability to work effectively with global, multidisciplinary teams.
- Discretion and professionalism when handling confidential and sensitive information.
